Terms, weather and cancellations

Plain-language terms for booking with Butterfly Picnic (“we”, “us”). By paying for a booking you agree to them.

1. The booking

A booking is confirmed when payment is received through our website. You will receive a receipt from our payment provider (Stripe) and a confirmation message from us within one business day with the agreed location, meeting point and styling details.

Prices are in Australian dollars. Full-service bookings include set-up, styling and pack-down at the agreed location for the booked duration. DIY hire includes the listed equipment for 48 hours from the collection time.

2. Rescheduling and cancellation

  • Reschedule: free of charge up to 48 hours before the start time, to any available date within 6 months.
  • Cancel more than 48 hours before: full refund less payment-processing fees (about 2%).
  • Cancel within 48 hours: no refund; the booking may be moved to another date once.
  • No-show: no refund.

3. Weather

If the Bureau of Meteorology forecast for your date shows a high chance of rain or a severe-weather warning, we will contact you the day before and move your picnic to the next date that suits you at no cost, or to a covered location you nominate. If weather turns during the picnic, pack-down is brought forward and no refund applies. We never leave guests in a storm with our candles lit.

4. Locations and permits

You choose the location; we will advise on suitability. Public parks are shared spaces and a specific spot cannot be guaranteed. Where a council permit, parking fee or entry fee is required for your event, it is your responsibility to obtain and pay for it. Private property requires the owner’s permission.

5. Food, drink and conduct

We supply styling and equipment, not food or drink. Alcohol must be consumed only where permitted. You are responsible for your guests and for leaving the location clean of your own rubbish.

6. Equipment

Equipment remains our property. You are responsible for it from set-up until pack-down (full-service) or from collection until return (DIY). Normal wear is expected; lost or damaged items are invoiced at reasonable replacement cost. Late DIY returns are charged at $30 per day.

7. Liability

To the extent permitted by Australian Consumer Law, we are not liable for injury, loss or damage arising from the use of the equipment or the location, including weather, insects, uneven ground or the conduct of guests or third parties. Nothing in these terms excludes rights you have under Australian Consumer Law.

8. Photos

We may photograph the set-up before you arrive for our portfolio. We will not publish photos of you or your guests without your permission.
